Your First Steps to Success with Your Dashboard

Welcome to your V3 dashboard. This guide introduces a few features that make your daily tasks more efficient: Action Items, AutoPay, Family Bundling, and archiving members.

The Action Items section helps you keep your membership dashboard clean and your data accurate. Here are your first three steps:

  1. Review expired memberships. Identify patients whose memberships have lapsed, then decide whether to renew, archive, or delete them.
  2. Tackle duplicate members. The system flags potential duplicate member records. Clean these up to keep patient data accurate.
  3. Verify email addresses. Incorrect email addresses can hinder communication. Update any invalid emails to stay in contact with your patients.

Learn how to use the AutoPay feature to put your members on cruise control. You can also turn AutoPay off for patients who change their mind.

Family bundling groups multiple members together in one screen. Each family member needs their own member record, but you can bundle them to view them all together.

Our patients don’t like auto-renew payments.

You can enter patients and track membership growth without setting them up on AutoPay. Patients can sign up for your membership and pay for one year at a time, with a credit card, cash, or check. When enrolling the member, select the membership they want and choose their payment frequency (recurring/auto-pay or one-time).

You still get the full benefit of the platform, with alerts, growth charts, and email reminders, while patients are not charged again until they decide to renew. When they are ready, you can renew their membership from their profile page. Members can also renew themselves by email if they wish, which removes the need to renew them manually each time. Reminders let them know when renewal is coming up, and they can pay in office by cash or check or renew online by credit card.

What is the fee to upgrade to the newest version of Smile Advantage?

There is no extra cost to upgrade to V3. You can use the new features without paying anything more than you pay now. Any future advanced features may be released as optional paid upgrades, which would not affect your current use of the platform.

Will I have to contact all my patients and collect their payment methods again?

No. Only the front-end of the app you interact with is changing. Your patients’ card data continues to be handled securely, processed through a Level 1 PCI Compliant service provider.

All of your members, their subscription frequency, plan, price, and existing payment methods transition to V3. Once you log in, you will see them all intact and ready to manage. Because V3 keeps a longer record of payment history and membership journey, you may notice more expired or inactive patients than before, and the dashboard will notify you of them.

Will my members still get email reminders?

Yes. V3 sends reminders before a membership renews, along with receipts and confirmations after a successful payment. It also sends more expiration emails than V2, including multiple notices after a payment fails or a one-time membership is not renewed.
