Why it takes the whole office

Every great membership program starts with one team member having one great conversation with one patient. Repeat that enough times and you build predictable, recurring revenue and stronger patient loyalty.

10 membership conversation starters

1. Dental assistant (while the patient waits for the doctor)

“While we’re waiting for the doctor to come in, I wanted to let you know about our in-house membership plan. Since you’re not using insurance today, it could be a really helpful option. It includes preventive care and offers savings on treatment. If it sounds like something you’d want to look at, I can grab a brochure for you.”

2. Dentist (before the patient heads out)

“Hi there, before you head out today, I want to quickly share something many of our patients have really appreciated. Since you’re not using dental insurance, I think our in-house membership plan might be a great fit. It helps simplify your care and saves you money long-term. My team up front can walk you through the details. It’s super simple and designed with patients like you in mind.”

3. Reception (during paperwork)

“While you’re filling out your paperwork, you’ll probably notice a mention of our in-house membership plan. If that piques your interest, I have a brochure right here you can look at while we get everything ready. It’s a great option if you’re not using insurance.”

4. Hygienist (before a cleaning)

“Before I start your cleaning today, I just wanted to mention that we offer a dental membership plan for patients not using insurance. It includes your cleanings and exams and gives discounts on other treatments. A lot of my patients have really liked the savings and simplicity. If you’re curious, I’ll make sure the front desk gives you the info on your way out.”

5. Phone (when a new patient calls)

“Thanks so much for calling today! I see you’re not using dental insurance, and that’s completely fine. We have a membership plan that includes cleanings, exams, and discounts on treatments. It’s perfect for patients like you. I’ll tell you more when you come in, or I can email you the details ahead of time if you prefer.”

6. Associate dentist (wrapping up a visit)

“While we’re wrapping up, I just wanted to mention that since you’re not using insurance, our membership plan might be a great fit. It gives you predictable costs and makes follow-up care more affordable. If you’d like to hear more, the front desk can go over the details.”

7. Treatment coordinator (reviewing a treatment plan)

“As we review your treatment plan, I noticed you’re not using insurance. I wanted to mention our membership program, which has helped a lot of patients save on their visits. It applies immediately and gives you savings moving forward too. Want me to show you how it works before we get started?“

8. Phone follow-up (after a visit)

“Hi [Patient Name], this is [Your Name] from [Practice Name], following up from your visit. Since you’re not using insurance, I wanted to make sure you had a chance to learn about our membership plan. It includes cleanings, exams, and discounts on treatment. I can text or email you a link to check it out. Just let me know what’s easiest!“

9. Insurance coordinator (for patients using insurance)

“Hi! I saw you’re using insurance today, and that’s great. Just something to consider: when open enrollment comes around, it might be worth comparing what you’re paying in premiums and deductibles. A number of our patients have found that switching to our in-house membership plan gives them more value with fewer restrictions. If you’re ever curious, I’d be happy to share how it stacks up.”

10. Office manager (reinforcing at checkout)

“Hi [Patient Name], I hope your experience today has been great. We really appreciate you trusting us with your care. I saw that our team mentioned our in-house membership plan, and I wanted to personally reinforce that it’s a smart option for patients not using traditional insurance. It’s simple, affordable, and puts you in control of your dental care. If you’re ready, we can get you signed up today. It only takes a minute.”

Turn emergency patients into loyal members

Emergency visits are one of the best openings for a membership conversation. The cost of today’s appointment is often close to the price of the plan, so you can reframe the visit.

Try this: “The cost of today’s appointment is nearly the same as our membership plan. I’d suggest signing up for that, and you’ll get today’s appointment covered as well as your cleanings for the year.”

This changes the story for emergency-based patients. As an office, you get to see them at least two more times a year and build a real patient-doctor relationship. For the full approach, see Converting Emergency Patients into Loyal Patients.

More opportunities to offer membership

  • Poor out-of-network coverage from an employer: Offer your membership plan as their primary coverage and keep insurance as secondary for larger procedures or specialist visits.
  • Patients paying for weak insurance: Advocate for the patient. A $60 monthly premium adds up to $720 a year, often for about $1,000 of coverage that comes with exclusions, waiting periods, and possible denials. A membership plan is often the better value.
  • Retiring patients: When a patient says they are retiring and asks what insurance to buy, point them to your membership plan. It provides the preventive care they need at a much better price. See Membership Questions for Retiring Seniors.

Bonus script: retiring patient (hygienist or assistant)

“Congratulations on retiring! Since you’re thinking about coverage, I’d love to mention our membership plan. A lot of our retired patients choose it because it gives you the care you need at a much better price. If you’d like, I can grab the details for you before you go.”

Making it stick

You don’t need perfect words, just a willingness to open the door. Use these scripts, make them your own, and practice them together as a group. Most importantly, start talking.
