Until now, Smile Advantage handled membership payments while your in-office transactions lived in a separate system. That meant two platforms to manage, two sets of reports to reconcile, and no unified view of your payment activity.

Today we’re changing that with Terminal & POS Support, the ability to process in-office payments through physical payment terminals directly within Smile Advantage.

One Platform for All Payments

Whether a patient is paying for their annual membership renewal or settling a balance after treatment, you can now process both transactions in the same system. This consolidation simplifies your workflow and gives you complete visibility into your practice’s payment activity.

What You Can Do

Process card-present transactions. Use your physical payment terminal for in-office payments just like you would with a standalone terminal.

Accept manual card entry. For phone payments or situations where the terminal isn’t accessible, manually enter card details through a secure interface.

Charge cards on file. Process payments using payment methods members have already stored, without requiring them to present their card again.

Track everything together. All transactions - membership and in-office - appear in the same transaction list with clear channel indicators.

Flexible Payment Methods

The terminal interface gives your front desk staff flexibility to handle any payment situation:

Terminal (Card-Present)

The primary method for in-office payments. The patient inserts, taps, or swipes their card on your physical terminal. You get the lowest processing rates and strongest fraud protection.

Manual Card Entry

When a patient calls to pay by phone, or when your terminal has connectivity issues, manually enter the card number through our secure interface. Real-time validation confirms the card type and catches errors before processing.

Card on File

For members with stored payment methods, process charges without any card handling. This is especially useful for:

  • Collecting balances from existing members
  • Processing payments when the member isn’t physically present
  • Situations where speed is important

Platform Fee Support

For practices using our SA Payments processing, the terminal interface fully supports platform fees. Fees are:

  • Automatically calculated based on your configuration
  • Clearly displayed before processing
  • Properly itemized in transaction records
  • Included in receipts and confirmations

Channel-Based Filtering

With two payment channels flowing into one transaction list, organization matters. Filter your transactions by:

Membership: Renewals, new signups, and subscription-related charges

In-Office: Payments processed through the terminal interface

This filtering extends to exports, so you can generate reports for specific payment types.

Payment Environment Indicators

Each transaction now displays clear indicators showing how the payment was processed:

  • Contactless icon: Card-present tap transactions
  • Card icon: Card-present chip/swipe transactions
  • Manual entry indicator: Card-not-present transactions

These indicators appear in transaction lists and detailed views, helping you quickly understand the context of each payment.

Receipt Generation

Process a payment and immediately print or email a receipt. Receipts include:

  • Transaction amount and date
  • Payment method details (masked card number, card type)
  • Platform fee breakdown if applicable
  • Member and practice information

Integration With Your Workflow

Terminal support works alongside your existing Smile Advantage features:

Member profiles: Link in-office payments to members for complete payment history visibility

PMS integration: Transaction details can flow to your practice management system ledger

Reporting: All transactions roll up into your dashboard analytics and exports

Payouts: In-office and membership transactions appear together in payout reports
